AI for small business owners: 7 jobs to hand to AI first
If you run a small business, you don't need an "AI strategy deck." You need a few hours back each week without risking your reputation. These seven jobs are where most owners can start safely, because a human still reviews everything before it reaches a customer.
1. Replying to common customer questions
Paste in your FAQ, policies and a customer's question (with personal details removed) and ask for a draft reply in your tone. You review and send. Over time, save your best answers as a reusable FAQ document for faster drafts.
2. Writing marketing you keep putting off
Social posts, a monthly email, Google Business Profile updates, event announcements. Give AI the facts (offer, date, who it's for) and your tone, and ask for three options. You choose and edit.
3. Turning messy notes into clean documents
Voice-memo or jot down a process, then ask AI to turn it into a step-by-step checklist or training document for staff. This is one of the highest-value, lowest-risk uses there is.
4. Summarizing reviews and feedback
TASK: Here are our last 30 customer reviews [paste]. Group them into themes: what customers love, what they complain about, and 3 specific improvements to consider. Quote the reviews that support each theme.
5. Drafting job posts and interview questions
AI can draft a clear job description and structured interview questions from a few notes. Have a human check it against your local employment rules before posting.
6. Research before you buy
Comparing software, suppliers or equipment? Ask AI for the questions to ask and the trade-offs to weigh, then verify prices and features on the vendors' own sites, because AI information can be out of date.
7. Planning your week
Dump your to-do list and ask AI to sort it into must-do today, delegate, schedule and drop, with a realistic plan for the week. It's simple, and owners often find it surprisingly helpful.
The guardrails
- Keep private data out of tools that aren't approved for it: customer details, health information, payment data and passwords. Check each tool's data settings and terms.
- A human approves anything customer-facing, especially prices, promises, legal, medical or financial statements.
- Verify facts, names and numbers. AI can be confidently wrong.
- Write down what works. A shared doc of prompts your team uses keeps quality consistent.
How to roll it out without overwhelming your team
- Pick one job from the list above that costs you the most time.
- Have one person own it for two weeks and save the prompts that work.
- Measure the time saved (even roughly), then add the next job.
